Microsoft Teams: Call Forwarding and Voicemail
Description: This article will cover the various call forwarding and voicemail options Teams has available.
Accessing the Call Forwarding and Voicemail menu:
- In the Teams app on your computer, click the three dots in the top bar, then click Settings.
- In the Settings menu click Calls.
- All settings in this menu are saved in real-time so no save button.
Call handling and forwarding
Forwarding ALL calls:
- If you would like to have all calls forwarded directly, toggle ON the Forward all callsswitch. This will cause you to get no notification in Teams of and incoming call and instead it will only forward to the destination you choose.
- It is recommended that if you are going to be Out Of Office to not use this option but scroll further down in this settings menu to the Manage out-of-office voicemail section.
- A dropdown menu will appear with two options:

Forward to Voicemail will send every incoming call to voicemail and there will be no notification a call is incoming.

Forward to a new number or contact will let you enter the name of a contact you have in Teams or a direct phone number to send all calls to.
All other options in the Call handling and forwarding menu are for all calls when Forward all calls is not enabled.

When you receive a call: This is what happens when there is any incoming call in Teams.

When you're in a call and receive another call: Simply as the description says, how do you want a second call to be handled when you are currently on a call.

When you can't answer a call: This will be when you are in Do Not Disturb or Offline status or when the incoming call rings but isn't answered after a set amount of time.

Ring for this many seconds before redirecting: This lets you set how long an incoming call is allowed to ring before it's automatically redirected based on what you set for the When you can't answer a call setting.
Manage Voicemail
Record a custom greeting: Click the "Record a greeting" button to start recording a message in your own voice callers will here when they are redirected to your voicemail.
Choose a language for your default greeting: If you do not record a custom greeting a default greeting with a computer generated voice will be used. This option sets in what language that greeting will be in.
Choose what happens when the call is redirected to voicemail: This lets you set what happens when someone is sent to your voicemail. these options include:
- Let the caller record a message.
- Let the caller record a message or be transferred to someone else (you will have to specify who they can be transferred to).
- Play greeting and end the call.
- Play greeting then transfer the call to someone else (you will have to specify who they can be transferred to).
Set up text-to-speech customized greeting option: Here you can type out a greeting message and a computer generated voice will read it. If you have a recorded greeting it will override this option.
Manage out-of-office voicemail
When should your greeting play: You can set a separate voicemail greeting just for when you are out of office. This can be configured to synchronize with when you have automatic replies enabled in Outlook or when you have a part of your calendar marked as out-of-office.
